IG SoC for NHS Organisations
Below are the steps you need to follow for the IG SoC if you are one of the following organisation types: SHA | Acute Trust | Ambulance Trust | Mental Health Trust | Primary Care Trust | Prison Health | Foundation Trust | NHS Business Services Authority | NHS Direct.
The Information Governance Assurance Statement is agreed once for each organisation i.e. per legal entity. Compliance is reconfirmed through the annual submision of the Information Governance Toolkit
All NHS Trusts submitted their signed IGSoC declarations during 2007/08. This IGSoC declaration has now been superseded by the requirement in the IG Toolkit to accept the IG Assurance Statement. This is re-confirmed each year by the submission of the annual IG Toolkit Assessment. The IGSoC process needs only be completed outside of the annual return of the IG Toolkit Assessment, if the legal status of the organisation changes, if there is a change of signatory, or if you are a new NHS organisation.
In order to complete the IG SoC, please select the relevant option:- I need an additional N3 connection
- I need to change or update my IG SoC declaration e.g. due to a change of legal organisation status
- I need to change the physical location of my N3 connection
- I no longer need my N3 connection
I need an additional N3 connection
Step 1
- Ensure that you have completed the IG Toolkit and IG SoC for your organisation. Please note only one IG SoC has to be completed per organisation i.e. per legal entity. ODS Codes (formerly NACS codes) are allocated per site location.
- Ensure that you have an ODS code (formerly NACS code) for the new site location that you want the additional N3 connection to be installed at. If not, request an ODS code by emailing exeter.helpdesk@nhs.net. In this email please include i) the organisation name and address of the N3 connection to be installed (ii) contact details for the person in your organisation responsible for overlooking the additional N3 connection installation (iii) state that the request is for an additional N3 connection. Wait for your ODS code to be sent to you by email.
Step 2
Contact BT N3 at crm.mailbox@bt.com to arrange for the additional connection to be installed stating:
- The organisation name and address of the N3 connection to be installed
- Contact details for the person in your organisation responsible for overlooking the additional N3 connection installation
- The ODS code (formerly NACS code) for the new site location
I need to change or update my IG SoC declaration e.g. due to a change of legal organisation status
Step 1
Amend the details on your IG SoC declaration and resubmit to exeter.helpdesk@nhs.net. To assist the prompt processing of your submission, please ensure any correspondence to the Exeter helpdesk relating to an updated IG SoC declaration includes the text "Updated IG SoC declaration for < Organisation name> <ODS Code>" in the email subject line.
I need to change the physical location of my N3 connection
Step 1
Ensure that you have an ODS code (formerly NACS code) for the new site location that you want to move your N3 connection to. If not, request an ODS code by emailing exeter.helpdesk@nhs.net. In this email please include i) the organisation name and address of the N3 connection to be moved (ii) contact details for the person in your organisation responsible for overlooking the N3 connection move (iii) state that the request is to move your N3 connection to a new premises. Wait for your ODS code to be sent to you by email.
Step 2
Amend the details on your IG SoC declaration and resubmit to the exeter.helpdesk@nhs.net. To assist the prompt processing of your submission, please ensure any correspondence to the Exeter helpdesk relating to changes to the physical location of your N3 connection includes the text "N3 connection location change request for <Organisation name> <ODS Code>" in the email subject line.
Step 3
Contact BT N3 at crm.mailbox@bt.com to arrange for the transfer of your N3 connection from your current premises to the new location.
I no longer need my N3 connection
Step 1
Contact exeter.helpdesk@nhs.net to inform them that your connection to N3 is no longer required. To assist the prompt processing of your request, please ensure any correspondence to the Exeter helpdesk relating to redundant N3 connections includes the text "Redundant N3 notifcation for <Organisation name> <ODS Code>" in the email subject line.
Step 2
Contact BT N3 at crm.mailbox@bt.com or phone 0800 085 0503 for the connection to be uninstalled and removed.
