Error Messages

The SS Screens (Screening Services - GP Details)

The SS screens contain general information relating to individual GPs. There are a total of twelve SS screens, each containing information which is used by the call/recall system for the production of letters and other notifications.

SS screens are used to:

  • display GP details (and the practice to which the GP belongs)
  • define each GP's screening requirements;
  • define the telephone number and address, which can be printed on notifications produced for a specific GP; and
  • specify GP's free letter text
  • Identify the laboratories associated with each GP

Note: all the details entered on the SS screens may be printed out through the Analysis Job SSCY. This list of details may then be sent to the GPs for approval/amendment.

How to Use the SS Screens

Directions to Use the SS Screens

  1. Enter a key of SS with C,GP code as the qualifier. Press <Enter>.
  2. The first of 12 screens will appear.
  3. To access further screens, <Page on> by pressing <2> on the numeric keypad to the right of your keyboard.

    Or

    Page directly to the SS General Screen (screen 2) by entering C,GP code,G in the qualifier. Press <Enter>.

    Or

    Page directly to the SS Details screens (screen 3 onwards) by entering C,GP code,D in the qualifier. Press <Enter>.

Access Rights

Changes to the SS screens may only be made by users with FULL ACCESS rights.

Screen 1 (Partnership Screen)

Screen 1 displays general information about the GP and the partnership he/she belongs to and is VIEW ONLY.

The GP’s specific details will always be displayed in the top section of the screen. The lower half of the screen contains general partnership details. If the GP is either a ‘single handed’ GP or a GP who has not started practising, then the lower half of the screen will remain blank with the words ‘Single handed’ or ‘Not started’ displayed in the left hand corner.

Note: all the information that is displayed on this screen is taken from information held on the GD (GP Details) and GP (Partnership Details) screens. Any changes to this information must be carried out on GD and GP, since SS screen 1 is display only.

Upper Section of Screen
GP’s personal identifying details, i.e. name, practice address, sex, national GP code and Q code (as entered on the GD screen).

Partnership Details (lower section of screen)
GP’s partnership details, including codes of other GPs in the partnership, partnership name and address. If the GP is ‘single handed’, or has not yet started practising, this section of the screen will remain blank.

Partnership start date
The date the GP started practising within the partnership.

Partnership end date
This field will be blank unless the GP has left the partnership, or a leaving date has been entered.

Screen 2 (General Screen)

Screen 2 is used to control the type of printed notifications required by each GP, as produced by Cervical Screening call/recall analysis jobs.

The information that appears on these prints reflects the type of service required by each GP from his/her HA: whether or not the GP wants to receive Prior Notification Lists (PNLs), and if GP details are to be displayed on notifications. This screen also indicates if the GP offers Cervical Screening, and identifies the laboratories used.

An audit of changes made on this screen is available via a pop-up box.

Service Offered
Indicates whether or not the GP offers Cervical Screening.

Prior Notifications Required
Shows whether Prior Notification Lists (produced by Job AJ-RG) are required.

GP Invitations
This field can only be amended for single-handed GPs or senior partners; for other GPs, it will be ‘Read only’, based on the field setting for the senior partner. The field controls the way in which Cervical Screening PNLs are processed when they are received, if the GP indicates that the practice is inviting the patient.

If this field is set to ‘Y’, patients on the incoming PNL, who have a reason coded 10 (Practice Invitation), will have their Recall Status updated to ‘Patient Informed’.

If this field is set to ‘N’, patients on the incoming PNL who have a reason coded 10 (Practice Invitation), will NOT have their ‘Recall Status’ amended. These patients will then be picked up as normal by AJ-RP.

Targets - Include Patients’ Names in the following lists:
Indicates whether the GP requires patients’ names to appear on Cervical Screening Target Lists (produced by Job AJ-CGTP).

Group Target Lists per Partnership
Indicates whether aggregated prints are required for the partnership (Y), or separate lists for individual GPs (N).

Invitation Notifications Required
This field controls the production of invitation notifications for GPs. Each GP has the option either to use the invitation letters produced by AJ-RP and despatched by the HA, or to send out his/her own letters. If the GP sends out his/her own letters, the call/recall system will automatically assume that the invitation has been sent by the GP at the appropriate time, and will move the woman forward in the call/recall cycle.

Reminder Notifications Required

This field controls the production of reminder notifications for each GP. Each GP has the option to use the reminder letters produced by Analysis Job RP) and despatched by the HA or to send out his/her own letters. If the GP sends out his/her own letters, the call/recall system will automatically assume that the reminder has been sent by the GP at the appropriate time, and will move the woman forward in the call/recall cycle.

Note: when Suspended Final Non-Responders are brought back into the screening cycle, the settings on the SS screen will be overridden by the system. Letters will automatically be produced for a Suspended FNR whether the woman’s GP has requested notifications or not. This only applies to FNRs whose action code is S – "Suspended".

Result Notifications Required
This field controls result notifications production (produced by Analysis Job RP).

Note: if a GP sends out his/her own Invitation/Reminder/Result letters, an audit of these can be viewed on the CY screen, via the ‘Notifications’ pop-up box. The form of the entry on CY is:

  • 25.11.1998 CP GP sends Notif GT 000020 where 000020 is the GP code.

GP's Details to be displayed on notifications: C=Code only D=Full, N=None.

Indicates how much information is displayed on notifications.

Note: unless this field is set to ‘D’ - Full, the GP’s details will not be displayed on recall letters.

Laboratories Associated with GP
The laboratories used by the GP to analyse smear tests. Each laboratory is identified by a national code. This information is then used by the system, when AJ-RP is run, to produce screening invitation lists for the specified laboratory. Invitation lists may sent to the laboratory via a computer link or in paper format.

  • Primary Laboratory: the national code used to identify the main laboratory used by the GP to analyse test results.
  • Secondary Laboratories: the national codes used to identify other laboratories used by the GP. A secondary laboratory may only be identified if a primary laboratory is already associated with the GP.

Full details of the laboratories associated with the GP are held on the system. Laboratory details may be accessed via the LD Screen.

Note that, if HMR101/5 forms are to be produced for the GP's primary laboratory, the 'Primary Laboratory' field on this screen must be completed. This must be done for each GP for whom the laboratory is the primary laboratory.

ZZZ GPs

Screening services information for ZZZ or ‘dummy’ GPs may be stored on the SS Screen. This allows primary and secondary laboratories associated with the dummy GP to be entered.

Viewing an Audit of Changes (Pop-up Box)

Directions to View an Audit of Changes Made to SS Screen 2

  1. Position the cursor in the qualifier field (top right).
  2. To display the information, either:
    • press the <Ctrl> and < / > keys at the same time if you are working on an Exeter System terminal; or
    • press the <Ctrl>, <Shift> and < - > keys at the same time for terminal emulation via a PC. If there is no information available, the display will not change. However, if changes have been made in the past, a pop-up box will appear as shown below.
  3. Use the standard paging keys, 2 and 1 on the numeric keypad, to move forward or backward through any additional information, indicated by >> or << at the bottom or top of the window border.
  4. To close the pop-up box, press the <Return> key.

This screen displays detailed information about the GP’s telephone number and address, which will be used on the various letters and notifications printed by the system (if the GP requests this service).

On Recall/Result Notifications print GP's telephone number ?
The GP can choose whether or not the surgery telephone number is printed on recall/result notifications.

Is the number the GP’s surgery phone number?
The GP can indicate if the number to be printed is the surgery phone number. If ‘Y’ - Yes is entered, then the number that is printed will be the number that is entered on the Registration GD (GP Details) screen.

Is the number the GP’s home phone number?
The GP can choose for his/her own SURGERY telephone number to be printed on notifications, as taken from the GD (GP Details) screen. This is not the GP’s home telephone number.

If surgery number is required please enter required surgery
Some GPs may practice from more than one surgery. The GP can therefore select the surgery to which the telephone number applies. This number relates to the number specified on the GS (GP Surgery Details) screen.

If a different number is required please enter the alternative number
If the GP does not wish to use the telephone details set up on either the GD and GS screens an alternative number may be entered on this screen.

Is the GP’s address to be printed on recall/result notifications?
The GP can indicate whether or not they want the GP's address, as held on the GS screen, to be used on recall/result notifications.

If a different address is required please enter the alternative address
The GP has the option to use a different address on notifications, which may be entered on this screen.

Note: all the above fields can only be set to ‘Y’ - Yes if the GP's full details are to be printed and the GP requires Recall or Result notifications.

Is there a female Practice nurse available to take smears?
This information is not included on any printed notifications but is used for reference and therefore remains a mandatory field. If, for example, your HA receives a telephone call querying whether a particular GP practice has a female practice nurse available, the answer can be found immediately by viewing SS screen 3.

SS Screens 4 to 12 (GP's Free Text)

Screens 4 to 12 provide each GP with the option to include five lines of ‘free’ text within notifications, providing free text has been specified for each letter type on the DD (District Details screen).

Screen 4 allows free text to be entered for:

  • Call letters only

Screens 5 and 6 allow free text to be entered for:

  • Routine Recall letters

Screens 7 and 8 allow free text to be entered for:

  • Inadequate Recall letters

Screens 9 and 10 allow free text to be entered for:

  • Repeat Advised letters

Screens 11 and 12 allow free text to be entered for:

  • Notifications advising of suspension from the system

Wording of notifications is a topic which causes a great deal of debate, and each HA will have its own policy on the style and content of such letters, e.g. is the content too "frightening" or too "motherly". In addition, many GPs have their own views on the wording of notifications, and this screen allows them to include text of their own choice.

The GP’s free text will always appear at the bottom of the notification and MUST NOT include the phrase ‘Yours sincerely’, which is automatically inserted by the computer.

The GP text which is defined on the SS screens may or may not appears on the letters. This will depend on the settings made on the FD (HA Details) screen.

Understanding SS Screens 4 to 12

Add or Delete alternative text
These screens allows alternative text, defined by the GP, to be included within the letter. Additional text may be added or deleted from this field. At least two lines of text must be entered.

MEANING / ACTION

INVALID SERVICE REQUIRED

First letter of qualifier must be C - to access GP details for Cervical Screening. Re-enter.

QUALIFIER INVALID

The qualifier must be in the format "C,GP Code,". The GP code may be followed by either the letter G - indicating a General screen or D - indicating a Detailed screen. Enter correct qualifier.

FACILITY NOT YET AVAILABLE

Links for Cervical Screening are not yet available. Delete letter L from qualifier and replace with G or D.

MISSING GP CODE

GP code must be entered as part of qualifier. Enter GP code.

INVALID GP CODE

Must be a valid GP code. Enter valid GP code.

INVALID SCREEN REQUIRED

Screens available are G- General, D - Detailed or L -Links.

PRIMARY LAB invalid

A valid national code has not been entered to identify the laboratory. Check the code on the LD Screen, and enter correctly.

DUPLICATE LAB

This laboratory has already been specified for the GP. Delete duplicate code.

PRIMARY LAB missing

The national code for the GP’s main (primary) laboratory must be entered.

SECONDARY LAB invalid

A valid national code has not been entered to identify the laboratory. Check the code on the LD Screen, and enter correctly.

Must be a valid telephone exchange. The only characters allowed in this field are alphabetic characters, "-" or ",".

Must be a valid STD code. Only numeric characters or spaces are allowed.

If the GP’s details are to be printed on notifications, then a correct telephone number must be entered.

Screens 4 to 12

Must be ‘A’ - Add or ‘D’ - Delete only.

LETTER absent

'A' - Add has been entered in the previous field but text has not been entered in the the free text field. Enter text or delete ‘A’.

LETTER changed

Occurs when textual changes have been made to the letter but ‘D’ - Delete has been selected. Change ‘D’ to ‘A’ or continue and delete letter.

Min 2 lines of text

Only one line of text has been added. You must enter at least two lines of text. Refer back to GP.

GP has stipulated that his/her telephone number should be displayed on recall/result notifications, but there is an entry in one of the alternative telephone number boxes. Check which telephone number is required and select the appropriate entry.

ADDRESS not used

GP has stipulated that the address to be displayed is that entered on the GD screen, but part or all of an address has been entered in the alternative address fields. Check which address is required, and select the appropriate entry.

This message will be displayed if delete has been requested on one of the "letter" screens. Enter to confirm.
